Functions and Duties

PRACTICUMSUPPORT:

  • Coordinates and establishes student practicum placements in collaboration with the Program Chair, utilizing HSPNet and other systems.
  • To facilitate earlier placements, enter all practicum requests and information into HSPNet.
  • Coordinate with facility administrators and coordinators to identify potential units for practicum placements.
  • Develop and sustain ongoing relationships with each clinical site in the Okanagan, Shuswap, and Thompson regions.
  • Schedule and coordinate practicum experiences in a diverse array of environments.
  • Facilitate consistent communication with practicum sites to guarantee that student practica are planned efficiently.
  • Facilitates communication with clinical instructors and department chairs regarding placement status.
  • Coordinates communication with other OC departments and institutions that conduct practicum placements to guarantee that students are placed in high-demand areas and facilities in an equitable manner.
  • Maintain and coordinate the most up-to-date contact information for all locales.
  • Monitors, maintains, renews, or establishes new Affiliation Agreements between Okanagan College and practicum facilities.

PROGRAMANDFINANCESUPPORT:

  • Offers administrative support services to the Health and Social Development office by:
    • Screening calls and redirecting inquiries to the appropriate person or persons, as well as providing reception services and responding to inquiries regarding Health and Social Development programs
    • Mail sorting and pickup-drop-off
    • Managing internal and external directories, records, and files
    • Communicating with students
    • Assisting the Program Advisory Committees by coordinating and attending meetings, as well as preparing and distributing minutes
    • Program coordination and assistance during the accreditation procedure
    • Participate in chair meetings to ensure that the minutes are recorded and distributed in the appropriate manner.
    • Supply request preparation
    • Processes vocational instructor expense claims and Professional Development applications; administers the initial round of approval; coordinates final committee approval for PD funding; processes subsequent expense reimbursement; and tracks the total department PD funding on behalf of Finance. Additionally, reviews for completeness and compliance with the collective agreement.
    • Prepares, codes, and guarantees the accuracy of payment forms for invoices, expense claims, Visa statements, purchase orders, web requisitions, work requests, payment vouchers, and service contracts.
    • Budgetary assistance as required
  • Provide support for student orientation, recruitment strategies, and activities.
  • Assists in the development, coordination, execution, and monitoring of all marketing strategies, promotional materials, and activities for all program areas within the portfolio.
  • Through personal contact, media, marketing strategies, and other marketing activities, the portfolio’s programs and services are promoted.
  • Manages the distribution and monitoring of workstations for Health and Social Development.
  • Offers instructional support services through:
    • Assist in the formatting of examinations, course outlines, class handouts, correspondence, timetables, and materials that require copying, faxing, typing, and scanning.
    • Collaborates with support personnel at other campuses
    • Aids in the coordination and administration of vocational evaluations
    • Maintain files, process reference requests from employers, and type student reference letters.
  • Assists in the coordination and organization of instructor interviews
